Job Description:

We are looking for a dedicated Intake Specialist who is fluent in Spanish to join our Intake Department. The successful candidate will play a pivotal role in engaging with potential clients, gathering essential information about their cases, and ensuring a seamless onboarding process. As an Intake Specialist, you will be the first point of contact for individuals seeking legal assistance from Ramji Law Group.

Key Responsibilities:

• Client Engagement: Engage with potential clients via phone, email, or in-person meetings to gather details about their personal injury cases. Display empathy and compassion when interacting with clients.
• Language Proficiency: Communicate fluently in Spanish to assist Spanish-speaking clients effectively. Translate information accurately between Spanish and English as needed.
• Information Gathering: Collect comprehensive information about potential cases, including incident details, injuries sustained, and relevant documentation. Ensure accurate and complete data entry.
• Screening and Evaluation: Assess the viability of potential cases by conducting initial screenings based on established criteria. Collaborate with legal team members to evaluate the merits of cases.
• Documentation: Maintain accurate records of client interactions, case information, and relevant documents. Ensure confidentiality and compliance with data protection regulations.
• Client Education: Provide basic information to potential clients about the legal process, their rights, and our firm’s services.
• Appointment Scheduling: Schedule appointments for potential clients to meet with attorneys or legal experts for further evaluation.
• Client Greetings: Welcome clients and guests who visit our office in a professional and friendly manner.
• Fax Handling: Upload incoming faxes into our digital document management system, ensuring that they are appropriately labeled and organized.
• Phone Reception: Answer firm-wide phone calls, provide assistance, and transfer calls to the appropriate parties within the organization.
• Call Documentation: Accurately document incoming calls and messages in the firm’s legal software for the benefit of Case Managers and Attorneys.

Qualifications:

• Fluent in Spanish and English (spoken and written).
• Strong communication and interpersonal skills.
• Exceptional listening skills and empathy.
• Attention to detail and strong organizational abilities.
• Prior experience in a similar role (preferred but not required).
• Knowledge of personal injury law (preferred but not required).
• Experience using Casepeer (preferred but not required).
